Auto-forwarding your Bigpond email to a new, better email account

Picture
For those of you with old Bigpond email accounts - which we all know are very frustrating to manage when you have multiple devices - there is an easy way to move to a new email account that doesn't have the same limitations.

You can just 'auto-forward' your emails to your new account - just like a post office re-direction.  This means that you don't have to change your old Bigpond email address, because you will still get emails sent to that address at your new email address.

Check out this new Handy Hint, just added to the iTandCoffee Club members-only area.

How to set up your Gmail or Outlook email account so that it 'collects' your Bigpond, Optusnet and other POP mail for you

Picture
It is a great idea to try to move away from your old-fashioned POP email account to the newer style of email account, known as IMAP.

IMAP email accounts allow you to synchronise your mail across all of your devices, avoiding double-handling of email and giving the same 'view' of all of your account's 'mailboxes'.

But, as with moving house, there is usually the need to 're-direct' the mail that comes to your old address to your new address.

Two of the most popular IMAP mail providers, Outlook (which is the same as Live and Hotmail) and Gmail allow you to set up your new mail account to 'pull in' all the email that goes to your old POP account.

This means that you can receive all your mail, whether it be to your new email address or the old, in the one email account.

But how do you go about doing this?

Check out this new Handy Hint that has been added to the the iTandCoffee Club members only area.

How much data is used when using Skype or any other 'free' communications via the internet?

iTandCoffee client Helen asked me this very question yesterday.  So, I did a bit of Googling the find some figures on just how much data Skype uses, and 'gathered up' a couple of other articles that might be of interest to Helen and others.

Skype data usage

The data used by a Skype video call depends on what devices are involved at either end, and on the 'bandwidth' that is available (i.e. the data transfer rate, or speed of your internet service).

Video calls between two mobile devices using Skype over the cellular network apparently uses about 3.75 MB of data every minute.

If you are on a faster home internet service and making a HD video call, you may use up to about 22.5MB per minute.

The below table shows some approximations of the number of Megabytes used for some typical types of Skype calls - those that don't include videos and those that do.

Call Type

Minimum download / upload speed

Recommended
download / upload speed

MB used per minute (approx)

Calling

30kbps / 30kbps

100kbps / 100kbps

0.25 - 7.5MB

Video calling / Screen sharing

128kbps / 128kbps

300kbps / 300kbps

1 - 2.25MB

Video calling (high-quality)

400kbps / 400kbps

500kbps / 500kbps

3 – 4MB

Video calling (HD)

1.2Mbps / 1.2Mbps

1.5Mbps / 1.5Mbps

9-12MB, but could be up to approx. 22MB

'How to move off your old Bigpond, Optusnet, iPrimus, Netspace, etc email address and move to something better'

If you are still using an old email account - one that makes you handle emails multiple times on iPad, iPhone and computer - you may be ready for a better style of email account that allows you to handle your email once only.

With the newer style of email account you will read a message on one device, and it will be marked as read on all others; you will delete a message on one device, and it will disappear from all others; and you can view any 'sent' messages from any device.

Join us for a discussion of how you can transition from your old account to this new style of account.  And we will also address any other questions on Mail that we can fit into the available time of 9am-10:30am.

Please RSVP if you would like to attend

To ensure we know how many people to cater for (and can fit everyone in) and can also advise of any need for changes, please RSVP for the next session before Weds Dec 9th.

How to change the default Alarm sound on your iPad and iPhone

This question is courtesy of Laurie D, who was wanting the change the default alarm sound on his iPhone but could not find the 'Alarm' option in Settings -> Sounds.

Changing of your Alarm's sound is achieved in the 'Clock' app - a great little standard App provided by Apple, that allows you to view World Clocks (great for travelling, or when you have friends or work colleagues overseas), set and manage your Alarms, use the Stopwatch and set a Timer.

The Clock app can be accessed from your Home Screen, or from the Control Centre (accessed by swiping up from the bottom of the screen and choosing the 'Timer' symbol).

The different 'Clock' features are shown along the bottom of the screen.

Tap the
Alarm option (second from left) to view your existing alarms, to set new ones or remove those you don't need.

To set a new alarm sound, just change the Sound associated with an existing alarm, or add a new alarm with the required Sound.

This will cause all future alarms to use that same sound.

Changing an existing alarm

To change an existing alarm, tap Edit at top right to, tap on one of the listed alarm times, tap on Sound, and choose the new Alarm sound

Adding a new alarm

To add a new alarm, tap on the + symbol at top right, then set the Alarm time and the Sound.

You can also give your alarm a label, set it to repeat on certain days, and also set whether the 'snooze' function is enabled for that alarm.
Picture

The easiest way to add or remove an alarm is using Siri

Of course, you can also set new alarms using Siri.

Just say 'Set an alarm for 10am', and Siri will  add an alarm for 10am either today or tomorrow (depending on whether it is before or after 10am) and set the Alarm sound to be that which you last set.

You can also say 'Set an Alarm for 6:30am each weekday'.

Then, to delete that alarm, say 'Delete my 6:30 alarm'.  Or 'Delete all alarms' to get rid of all of them.

If you are planning a trip to China, you may need to use an email account other than Gmail

Picture
I have to say that I was not aware of this.

A client of iTandCoffee is currently in China to present at a medical conference, and contacted me a couple of days ago to say that he is unable to send and receive mail using his Gmail account in China.

So I had a look online to see if this is a known issue - that the Chinese government has blocked Google and Gmail.

Here's an article I found, confirming that this is the case.  So, if you are planning on travelling to China, make sure you have access to an alternative email account - one that is not blocked by the Chinese government.

China Makes Google's Gmail Almost Impossible to Use

How do I stop my iPad and Mac from ringing when my iPhone rings?

A feature that came in with iOS 8 was that you can take phone calls on your iPad and Mac!

While this sounds like it would be a great idea, the feature means that you can find several devices ringing at the same time, and even continue to ring when you actually answer your iPhone - which can be very distracting when you are trying to talk to the caller.

If this feature is becoming an annoyance to you, it is easy to turn it off on your iPad and Mac.
Picture
On your iPad, just go to Settings -> FaceTime, and turn off the option Calls from iPhone.
Picture
On your Mac, go to FaceTime -> Preferences and look for the same setting in the Settings section.  Un-tick it to stop phone calls coming through to your Mac.

How and where to save email attachments (and create PDFs from web pages) on your iPad and iPhone

A new feature that arrived with iOS 9 is one that is SO handy when you want to save away a web page or, say, PDF or Word document that you receive in an email.

This feature allows you save any such information to your iBooks app - one of the standard apps that Apple provides on your iPad and iPhone.

iBooks is not just for downloading and reading e-books.  It is also a place that you can store and manage PDF's.

Saving an email attachment to iBooks

When you receive an email with an attached file, tap on that file to open and view it.  It will initially appear in 'full screen' mode - so tap on the screen to see some options at the top.  You will see Done on the left and the 'Share' symbol (box with upwards arrow) on the right.
Picture
Tap on this Share symbol
If the document that has been opened is a PDF, you will see the Open in iBooks option.  Tap on that option to copy the PDF to iBooks - this well switch you to the iBooks app and show you the newly saved document.

It the mail attachment that you are viewing is a Word document, Excel Spreadsheet or Powerpoint presentation, you will have the option to Save PDF to iBooks.  This means that you can convert that document into a PDF and save it away to iBooks.

(Of course, you can also download Microsoft Word, Powerpoint and Excel apps to your iPad and iPhone, in which case you will see the 'Open in app-name' option as well.  But using iBooks allows you to avoid the need to download and use these apps for files that you don't need to make any changes to.)
Picture

Saving a web page as a PDF is iBooks

You will also see the Save PDF to iBooks option when you choose the same 'Share' symbol when viewing a web page in Safari.

This is a handy feature for saving away recipes and interesting articles that you want to keep for later - for a time when you perhaps don't have internet access to view them online.
Picture

Organising your books and PDFs in iBooks

iBooks allows for the grouping of books and PDFs into 'Collections', making it easier to then find documents you have saved there.

For example, why not set up a Recipes collection for all your saved recipes, and perhaps a Bills collection for all your saved bills.  Maybe you deal with lots of Agendas or Minutes - so create collections of that name as well.

For those of you who are not sure how to create Collections in iBooks, keep an eye out for a Handy Hint to be published in the near future on this topic.
