Can I get rid of the All Mail and Important mailboxes for my Gmail account?

If you are a Gmail user, you will probably notice that, in the set of mailboxes you see for your Gmail account, there are mailboxes like All Mail and Important.

I regularly speak to clients who tell me that they don't want to see these extra mailboxes in their Mail, Outlook or Gmail apps on their computer or mobile devices.

Here's how to get rid of them if you don't want to see them.

Outlook gets stuck trying to synchronise iCloud folders - and calendars won't sync

On Windows, it is possible to see your iCloud Mail, Contacts and Calendars in Outlook.

This is achieved by installing the iCloud app from the Microsoft Store, and signing in to your iCloud.

Just recently though, I have been asked to assist with Outlook sync'ing issues relating to iCloud - where a sync error occurs in Outlook, and there are resulting issues with sync'ing of mail folders, Calendars and, perhaps, Contacts.

These sync issues can sometimes mean that Outlook doesn't close properly, and then won't open next time. (Note. This separate iTandCoffee article covers what to do if Outlook won't start.)

Setting up an email signature on the Mac - for both Mail and Outlook

This topic has come up multiple times recently - how do you create a custom signature on the iPad or iPhone, in either Mail or Outlook.

In particular, how do you format the signature to include different fonts, sizes, colours, hyperlinks and an image or logo.

Some reasons why I use the Outlook app for my mail on the iPad and iPhone

If you are a Microsoft 365 user (or even if you are not), you can choose to use the Outlook app on your iPhone and iPad as an alternative to the standard Mail app. Just like the Mail app, Outlook can manage all your email accounts in one place.

A new version of Outlook for Mac is available. Here's why I am not switching yet

For those of you who are users of Microsoft's Outlook app for managing email, you may recently have received a prompt, asking if you want to switch to the New Outlook.

When I got this prompt, I did agree (at first) to switch - curious to see what this new version of Outlook looks like.

Here are two key reasons why I did not switch to the new version on my primary Mac - and why, after switching on my second Mac, I almost immediately switched back to the old version.

Outlook stores two copies of my Sent mail - how do I stop this?

Two iTandCoffee clients had this same question this week - one on a Windows PC and one on a Mac.

If you have an IMAP email account installed on your Mac or Windows computer, you may find that (mysteriously) there seem to be be two copies of Sent mail, even though only one one email went to the recipient. The good news is that there is an easy fix for this.

Creating tasks from emails in Outlook for Mac

Update Feb 2022 - The option to directly create a task from an email, as described in the article below, is no longer available in the new version of Outlook for Mac.

If you switch to this new version - using a switch at the top of the Outlook app - you will lose this capability. Here's a past article where I talk about this new version and why I delayed switching - mainly due to the loss of the Task creation option - and how you can consider using the Snooze function as an alternative to creating Tasks from your emails.

Also of interest in relation to this topic is this article from 2021, which talks about Apple plans to move away from a 'native' Outlook app for Mac to just providing a web version.

Outlook is stuck on 'Send/Receive' - and crashes on re-start

In our 24 hours of seeing 3 different clients with email 'sending' issues, the third client's issue was with Outlook for Windows on his new Windows computer.

He was unable to send any emails from his Bigpond account - even though his Gmail account was working. A call to Microsoft Support had failed to resolve his issue.
